Terms of Service & Facility Use Agreement

Welcome to LOTTIE CRANE LIMITED. These Terms of Service ("Terms") govern your use of our website (lottiecranelimited.com) and the hire and use of our equestrian arenas, showjumps, and surrounding facilities located at Alma Farm.

By booking an arena slot or entering our premises, you (and any guests, instructors, or spectators accompanying you) strictly agree to be legally bound by these Terms. If you do not agree to these terms, you must not book or use our facilities.

2. Assumption of Risk & Absolute Liability Waiver (Important)

Horse riding, handling, and being in the vicinity of horses are inherently dangerous activities ("Risk Sports"). Unpredictable animal behavior can lead to serious injury, damage, or death.

Risk Acceptance: By hiring and using our facilities, you explicitly acknowledge and accept all inherent risks associated with equestrian activities.

Limitation of Liability: To the absolute maximum extent permitted by the laws of England and Wales, LOTTIE CRANE LIMITED, its owners, directors, and staff accept NO LIABILITY whatsoever for any personal injury, death, loss, or damage sustained by any rider, spectator, horse, vehicle, or personal property while on our premises. All persons entering the site and using the arenas do so entirely at their own risk.

3. Mandatory Safety and Site Rules

To ensure a safe environment, all users must strictly adhere to the following rules:

  • Protective Headgear & Footwear: Correctly fitting hard hats conforming to current BHS (British Horse Society) safety standards must be worn and fastened at all times when mounted. Appropriate riding footwear with a defined heel must also be worn.
  • Equine Health: All horses attending Alma Farm must be fit, healthy, and have up-to-date equine influenza vaccinations. We reserve the right to spot-check passports.
  • Instructors & Freelancers: If you are bringing a freelance instructor, they must hold their own valid public liability insurance.
  • Dogs: All dogs must be kept on short leads at all times and confined to the parking areas. Dogs are not permitted inside the arenas.

4. Breakages, Damages, and Cleanliness Fines

We take pride in maintaining high-quality facilities. By booking with us, you agree to treat the property with respect.

Poo Picking & Hay: You are required to clear up all horse droppings and dropped hay from the arena and parking areas before you leave. Failure to leave the arena and parking area clean will result in an automatic £50 cleaning fine.

Damages: Any damage to our arena surfaces, fencing, mirrors, or show jumps (beyond normal wear and tear) must be reported immediately. You agree to be held financially responsible for the full replacement or repair cost of any items broken during your hired slot.

5. Payments, Fines, and Card Authorization

All bookings must be paid in advance via our website.

Payment Processor: We use Stripe, a secure third-party payment gateway, to process all transactions.

Authorization for Additional Charges: By securing your booking with a debit or credit card, you explicitly authorize LOTTIE CRANE LIMITED to charge that same card for any applicable No-Show fees (as outlined in our Refund & Cancellation Policy), the £50 cleaning fine, or the cost of damages incurred during your hire period.

6. Cancellations

Please refer to our separate Refund & Cancellation Policy for strict guidelines regarding the 48-hour notice period required for rescheduling or cancelling arena slots.

7. Right to Refuse Entry

We reserve the right to halt any session, refuse entry, or ask individuals to leave the premises immediately if they demonstrate dangerous riding, animal abuse, abusive behavior toward our staff, or failure to comply with these Terms. No refunds will be given under these circumstances.

8. Governing Law and Jurisdiction

These Terms and any dispute or claim arising out of or in connection with them or their subject matter shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction to settle any such dispute.

We absolutely do not collect, process, or store your full credit or debit card details on our servers. When you book a slot, all transactions are handled via our fully PCI-DSS compliant third-party payment processor (Stripe). We only receive a secure, encrypted token and the last four digits of your card to verify your booking, process refunds, or apply necessary facility fines (e.g., for late cancellations or uncleaned breakages) as outlined in our Terms of Service.

3. How We Use Your Information

We use your personal data for essential business operations only:

  • To manage your arena bookings and send confirmation emails or SMS reminders.
  • To contact you regarding urgent facility updates (e.g., closures due to extreme weather).
  • To process payments securely and prevent fraudulent transactions.

Refund & Cancellation Policy

At LOTTIE CRANE LIMITED, our equestrian arenas and facilities are in high demand. When you book a slot, that specific time is reserved exclusively for you, preventing other riders from utilizing the space. Therefore, we strictly enforce the following cancellation and refund policies to ensure fairness to all our clients and to protect our business operations.

By securing a booking on our website, you explicitly agree to the terms outlined below.

1. Standard Cancellations and Rescheduling

We understand that plans with horses can change. However, we require sufficient notice to allow us the opportunity to re-let the arena.

The 48-Hour Notice Rule: You must notify us at least 48 hours prior to the start time of your booked slot if you wish to cancel or reschedule.

How to Notify Us: All cancellation or rescheduling requests must be submitted in writing via email to support@lottiecranelimited.com or managed directly through your online customer portal (if applicable).

Timely Cancellations: If you cancel with more than 48 hours' notice, we will gladly issue a full refund to your original payment method or transfer your booking to an alternative date at no extra cost.

2. Late Cancellations and No-Shows (Strictly Non-Refundable)

Late Cancellations: If you cancel or request to reschedule your booking with less than 48 hours' notice, your booking fee becomes strictly non-refundable.

No-Shows: If you fail to attend your booked slot without any prior notice ("No-Show"), you will forfeit 100% of the booking fee.

Late Arrivals: We do not offer partial refunds or extended time if you arrive late for your booked session. Your session will still end at the originally scheduled time.

3. Weather Conditions Policy

Equestrian sports are inherently outdoor activities, and British weather can be unpredictable.

Standard Weather: We do not offer refunds or free rescheduling for typical weather conditions, including rain, wind, or cold temperatures.

Extreme/Unsafe Weather: In the rare event of extreme and dangerous weather conditions (e.g., severe ice, heavy snow, flooding, or official Met Office Red weather warnings), safety is our priority. If LOTTIE CRANE LIMITED, at its sole management discretion, deems the arenas unsafe to use and officially closes the facilities, we will contact you immediately. In this specific scenario, you will be offered a full refund or the option to reschedule your booking.

4. Fines and Deductions

As stated in our Terms of Service, users are required to leave the facilities clean and tidy (including clearing all horse droppings and hay). If you fail to do so, an automatic £50 cleaning fine applies. This fine is non-refundable and will be charged to the payment method used for the booking.

5. How Refunds Are Processed

Any approved refunds will automatically be credited back to your original payment method via our secure payment processor (Stripe). Please allow 5 to 10 business days for the funds to appear on your bank or credit card statement, depending on your card issuer.
